How to create group mail Id in Gmail



Google Groups in Gmail to utilize the mailing list is recommended. Google Group is a tool with functions to facilitate information sharing. You can create a mailing list and send the same email to multiple email addresses at once. There are two types: a free version that can be used if you have a Google account, and a paid version of groupware Google Workspace for companies and organizations.  Google workshop has all the functions necessary for business, and introducing it will bring various benefits to your company. I will explain how to create and send a Gmail mailing list in 4 steps. Each operation is divided into chapters, and specific procedures are explained below:

Log in to your Google Groups

First, log in to your Google Groups account. 

Open Google Groups (http://groups.google.com/)

Select an account to use with Google Groups

Enter your password and click Next

Login is completed and Google Group is displayed.

After logging into your account, let's create a group.

Create Group

Click "Create Group"

Enter the group name, group description, email address and click "Next".

Select access settings by item. Enter the required information and select the member you want to add Click "Create Group".


With the paid version of Google Workspace, it is possible to create groups with users outside the organizations depending on the administrator's settings. Admins can control what users can do in groups. So if you want to create groups with users outside your organizations, you must be allowed to create groups with users outside your organization. Also, keep in mind that it may take some time for the created group to appear.
After creating the group, send a new email as a test to make sure it's registered correctly.

Send New Email

From Google Groups, click the mailing list you want to send an email to.
Click "New Conversation"
Enter the message subject and body
Click "Post Message"
Recipients of the test email should reply to the email.

Reply To Email

From Google Groups, click the mailing list you want to reply to.
Click a message to read
Click "Reply to All" or "Reply to Author"
Enter the body of your message and click Post Message
Understand the difference between "Reply to All" and "Reply to Author" when choosing who to reply to. Click "Reply All" to reply to the group, or "Reply to Author" to reply only to the author.

Note that the above step 4 is for replying to a group. To reply only to the poster, enter your message and click "Send". Also, click "Forward" to forward the email.

Here are 4 ways to manage and set up your Gmail mailing list. Adding/removing members and setting permissions are frequently used functions, so be sure to check them.

Check Members

Follow the steps below to check the members of the mailing list.

Log in to your Google Groups account
Click on the mailing list whose members you want to check
Click "Members" from the "Users" tab in the menu
Click Banned Users on the Users tab to see who has been banned from your mailing list.

Add Members

Follow the steps below to add mailing list members.log in to your Google Groups account
Click on the mailing list you want to add members to Click "Members" from the "Users" tab in the menu Click "Add Members" at the top
Enter the email address to add Click "Add members". If you try to add a mailing list that is already set as a member of the group, you will be notified with an error message. In addition to adding users directly, you can also add users by inviting them to the group by email, or by approving their requests to join the group.

Remove Members

To remove mailing list members, follow the steps below.

Log in to your Google Groups Account Click on the mailing list you want to remove members from Click "Members" from the "Users" tab in the menu.


Hover over the member you want to remove and click Remove. To delete multiple members at the same time, check the checkboxes of the members to be deleted in step 4 above, and click "Delete Members" at the top right of the screen. If you remove a member, that member will no longer receive emails to the mailing list. 

Edit Members Role

Mailing list roles are all about permissions. There are three types: "Member", "Manager", and "Owner". You can edit a mailing list member's role by following the steps below.

Log in to your Google Groups account
Click on the mailing list to edit the role
Click on the mailing list to edit the role
Click "Members" from the "Users" tab in the menu.


Hover over the member whose role you want to edit and select the new role from Roles
To assign the same role to multiple members at the same time, in step 4 above, hover over the member whose role you want to edit and check the checkbox. Then click "Change Role" in the upper right corner and select a new role.
The default roles for mailing lists are:

▶️Members: Members of the mailing list are granted basic privileges. Basic permissions differ depending on group settings
▶️Manager: Can perform the same operations as the owner except for the following operations. Delete a mailing list, make another member an owner, change an owner's role/registration settings
▶️Owner - Has all permissions for the group.


I will explain three reasons why emails do not reach the Google mailing list and how to deal with them. If you do not receive the email, please check the following methods.

Spam judgment

If the sent email is judged as spam, it may be held in the management queue and not delivered. It is effective to change the spam settings and allow the delivery of suspected spam. You can change your spam settings by following the steps below.

Log in to your Google Groups account

Click on the mailing list whose role you want to Edit Click "Post Policy" from the "Group Settings" tab of the menu. Select "Allow posting suspicious messages to groups" under "Handling spam messages". Click "Save Changes"

Sorted into spam

If the email you sent is sorted into the spam folder on the recipient's side, it may not arrive. Ask the recipient to check the spam folder for the email. By registering the sender's email address, you can prevent it from being judged as spam.

Wrong email address

It is possible that the email address is incorrect and the email does not reach you. Please double check that the email address you entered is correct. Check each character to make sure there are no spaces or invalid symbols. Forexample, symbols such as underscores (_), commas (,), and dashes (-) cannot be used in email addresses.
